AI is software that guesses. It guesses what word comes next, what picture you mean, what answer fits your question. The guesses are good because the software studied billions of examples. That is the whole trick.

Three things AI does well

  • Writing first drafts of emails, plans, summaries, and lists
  • Reading long documents and finding what you need
  • Answering questions when you do not know where to start

Three things AI does badly

  • Math, dates, and exact numbers. It guesses, and the guess can be wrong.
  • Anything that needs the latest news. It knows what it studied, not today.
  • Knowing when to stop and ask. It will guess instead of asking.

How to use it to reduce workload

Pick one weekly task that takes more than 30 minutes. Ask Claude, Copilot, or Gemini to help you do it. Read what it gives you. Fix what it got wrong. Notice the time saved. Try it again next week with a different task.

One rule that keeps you safe

Never paste your work passwords, customer data, or private documents into a free AI chat. The free ones learn from what you give them. The paid ones are safer. If you are not sure, do not paste it.
